About this Opportunity:
The Distribution Centre Coordinator is the primary Distribution Centre employee responsible for managing the flow of documents and information coming in from our “company partners” and going out to all branch locations. Documents are scanned and attached to the broker management system (EPIC). Information is in the form of emails, faxes and paper which gets forwarded to our brokers and Insurance Advisors by email and/or filed accordingly. The coordinator receives and distributes all incoming/outgoing mail between our branch and head office personnel and is responsible for all outgoing mail. Stationery and supplies requisitions are filled and tracked by the coordinator who is also responsible for maintaining inventory. The coordinator is the primary receptionist for all head office departments and the Letellier branch. The Distribution Centre Coordinator will also perform administrative and office support activities for multiple departments.
Major Responsibilities:
- Sort incoming documents
- Scan and accurately attach documents to the broker management system client files.
- Package and distribute client policy documents to the appropriate branch.
- Sort courier received and distribute accordingly.
- Ensure the timely flow of outgoing documents using courier, regular mail and internal delivery methods.
- Maintain inventory and purchase office supplies as necessary.
- Update Distribution Centre Reference binder when procedures have been added or changed.
- Work with other Departments and branches to streamline distribution processes.
- Answer main switchboard calls and forward to the appropriate branch or personnel.
- Order lunch as requested and arrange pick up or delivery
- Prepare orders, coffee and drinks for delivery to respective training or meeting room
Knowledge, Skills, and Abilities:
- Ability to work independently, with minimal supervision
- Strong communication skills
- Extensive software skills which includes Microsoft Office
- Ability to concentrate on details and do repetitious work
- Critical thinking with attention to detail.
- Works well within a team and independently.
- Excellent verbal written English and interpersonal communication skills.
Education & Experience:
- Completion of high school diploma and/or college diploma or degree in a related area of study.
- 1-2 years of administrative experience working in an office setting.
- Exercising a high level of degree in confidentiality
- Excellent computer knowledge in MS Office
- Knowledgeable in answering incoming calls and directing them to appropriate personnel
